Seller Onboarding for Real Estate Agents: A First-Week Checklist

Once a seller says yes, the next week decides how the whole listing feels to them. A short, organized onboarding gives them clarity and gives you what you need to launch with confidence.

Day one: a clear welcome

Send a short message the same day: thank them, say what the next few days look like, and tell them when they'll hear from you next. Silence in the first week is the easiest way to create doubt.

Discovery questions worth asking

  • What's your ideal timeline, and is there a date that really matters?
  • What are you hoping happens, and what worries you most?
  • Who lives in the home, and what are the best times for showings? (Ask for access preferences, not assumptions.)
  • Are there repairs, issues or things you'd like us to know about up front?
  • How would you like updates: calls, texts or email, and how often?

Preparation priorities

Agree on a short list rather than a long one: the three or four things that matter most before photos and launch. Clearing clutter, deep cleaning, small repairs and curb appeal are common starting points. Put each item next to a date and an owner.

Paperwork and disclosures

Follow your brokerage's and your state's requirements for listing agreements and disclosures, and tell the seller what's coming and when. If you aren't sure what applies, ask your managing broker before you promise anything.

Launch readiness

  • Photography scheduled and access arranged
  • Showing instructions written down (lockbox, pets, notice, contact)
  • A plan for who gets feedback and how it's shared
  • A target launch date the seller has agreed to

Set a weekly update rhythm

Pick a day and a channel and stick to them. A short weekly note works even when there's little to report: activity so far, feedback received, and what's next. Predictable updates build trust faster than long occasional ones.
