Contract to Close: The Dates Agents Track (and How to Keep Them Straight)
October 03, 2026

Between contract and closing, a handful of dates matter more than the rest. Miss one and a smooth deal can become a stressful one. The names and lengths of these periods differ from contract to contract, so this is a general overview, not a replacement for your actual agreement.
Dates agents commonly track
- Contract acceptance: the starting point for most countdowns
- Earnest money: when it's due and where it goes
- Inspection period: when it opens, when it ends, and when requests are due
- Financing milestones: loan application, appraisal and loan commitment
- Title and survey: when reports are due and when issues must be resolved
- HOA documents: when they're due, if they apply
- Final walkthrough: usually shortly before closing
- Closing day: signing, funding and possession
Your contract decides the exact dates and rules. Always check each one against the signed agreement.

A simple method: count back from closing
Start with the closing date and work backward. Write each milestone with the date it falls on, who is responsible, and what “done” looks like. Counting back from one fixed date makes it easy to see where the tight spots are, such as a long weekend or a holiday.
Put the dates where you'll see them
- Add every date to your calendar with a reminder a few days before
- Share a short timeline with your clients so they know what's coming
- Update it right away if an amendment or extension changes anything
- Confirm each date against the contract rather than from memory
Keep clients in the loop
A short weekly note during the contract period reduces anxiety more than any single reassurance. Even “everything's on track, next date is the 14th” helps. Silence is what makes clients nervous.
